Job Responsibilities
- Office Management: Ensure the smooth day-to-day operations of the office, including organizing files, managing supplies, and handling correspondence.
- Administrative Support: Assist the recruitment and medical billing teams with scheduling, documentation, and data entry.
- Client & Candidate Coordination: Communicate with clients, job candidates, and healthcare providers to schedule interviews, meetings, and follow-ups.
- Billing & Invoicing Assistance: Support the medical billing department with data entry, invoice processing, and payment tracking.
- HR & Onboarding Support: Help with new hire documentation, compliance checks, and maintaining employee records.
- Calendar & Meeting Management: Schedule and coordinate meetings, interviews, and company events.
- Compliance & Documentation: Ensure company records, contracts, and confidential documents are properly organized and maintained.
- Customer Service: Respond to client and candidate inquiries professionally and efficiently.
Qualifications & Skills
✅ Experience: Minimum 2-3 years of office administration experience, preferably in healthcare, recruitment, or medical billing services.
✅ Organizational Skills: Strong ability to multi-task, prioritize, and manage time efficiently.
✅ Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and CRM systems. Experience with medical billing software is a plus.
✅ Communication Skills: Excellent written and verbal communication skills with a professional demeanor.
✅ Problem-Solving: Ability to anticipate office needs and proactively address challenges.
✅ Attention to Detail: Strong accuracy in data entry, document management, and compliance tracking.
